AI Confidentiality Preflight Checklist

Operational checks before client material touches an AI tool.

Eight short checks you run before pasting anything into an AI tool: classify the material, catch do-not-paste triggers, redact identifiers, review the tool's own settings, verify outputs with a person, manage retention, plan escalation, and adapt the checks to your own obligations. One page, written for busy operators.

See the mechanism on one fictional prompt

The core habit is a preflight pass on the prompt itself, before it reaches the AI tool. Every name and number below is fictional.

1. The draft prompt, as written

Draft a severance summary for Dana Okafor, ID 44172, salary $146,000.

Three do-not-paste triggers fire: a person's name, an identifying number, and a salary tied to that name.

2. The prompt is stopped and redacted

The prompt does not go in as written. Names and identifying numbers get neutral labels, and the label key stays in a file the AI tool never sees.

3. What actually reaches the AI tool

Draft a severance summary for EMPLOYEE-1, tenure 8 years, salary band mid-$100Ks.

Same task, same usefulness, no client identifiers in the prompt.

What is in the download

Who it is for

Anyone whose work touches client, customer, patient, or counterparty material and who also uses AI tools: consultants, lawyers, accountants, agencies, recruiters, analysts, and operators inside larger teams. No prior AI experience is needed to use the checklist.

Educational reference, not legal advice, and not a certification of any kind. Follow your employer's policies, your client agreements, your professional body's rules, and your jurisdiction's requirements; where they conflict with this checklist, they win.
